Order Management

Order Overview

To access order management, click on Orders in the left sidebar menu (under the Sell section):

Order overview

The Order Overview page is displayed with the following information:

At the top of the page

Period Filters Three buttons allow you to filter data:

  • This month - Current month's orders
  • Last 3 months - Orders from the last three months
  • This year - Orders from the current year

Statistics

Four cards display a summary of your order activity:

Total Orders

  • Displays the total number of orders created
  • Example: 0 orders
  • Subtitle: "All orders"

Total Amount

  • Displays the total value generated by all your orders
  • Amount in FCFA
  • Subtitle: "Total value"

Accepted Orders

  • Displays the number of orders accepted by clients
  • Subtitle: "Accepted orders"

Delivered Orders

  • Displays the number of orders delivered and converted to invoices
  • Subtitle: "Converted to invoices"

Order Breakdown by Status

This section displays a chart or table showing the distribution of your orders according to their status (draft, pending, accepted, delivered, etc.).

When you don't have orders yet, a message is displayed:

  • No data available for the selected period

Recent Orders

This section displays your latest created orders. When no orders have been created yet, a message is displayed:

  • No recent orders
  • Created orders will appear here

Click See all orders to access the complete list.

Create a New Order

To create an order, click the New button at the top right of the page:

New order

The New order window opens. Fill in the basic information:

**Client ***

  • Search and select a client from your list
  • This field is mandatory

Reference

  • Enter a reference for the order
  • Example: "ORD-001"
  • This field is optional but recommended for tracking

Title

  • Give the order a descriptive title
  • Example: "Computer equipment order"
  • This field is optional

Notes

  • Add additional notes or special instructions
  • Supplementary information about the order
  • This field is optional

Click Create order to validate.

Order Details Page

After creating the order, you are automatically redirected to the order details page:

Order Header

The order number is generated automatically (e.g., ORD-2026-0001)

Action buttons are available at the top right:

  • Validate (blue button): To validate the order
  • Cancel (red button): To cancel the order
  • ... (three dots): To access other options

Order Details Section

Main information is displayed:

Number

  • The unique order number
  • Example: ORD-2026-0001

Status

  • Indicates the current state of the order
  • Draft: The order is not yet finalized

Creation Date

  • The date the order was created
  • Example: Feb 27, 2026

Delivery Date

  • Expected delivery date
  • Unspecified by default

Reference

  • The reference you entered
  • Example: Ref 003

Title

  • The descriptive title of the order
  • Example: "test"

Edit

  • Click this button to modify the order information

Adding Items to the Order

This is where you add ordered products or services:

Add a Line

Click the + Add a line or + Add first item button. A window opens:

Fill in the line information:

Select from a Product

  • Click this button to choose a product from your catalog
  • Information (description, price) will be automatically filled

**Item Description ***

  • Describe the item in detail
  • This field is mandatory
  • If you selected a product, the description is pre-filled

Quantity

  • Indicate the product/service quantity
  • Default: 1
  • Example: 5, 10, 100...

Unit Price (XAF)

  • Indicate the unit price in CFA francs
  • If you selected a product, the price is pre-filled
  • Example: 10000 XAF

Discount (XAF) - Optional

  • Apply a discount on this specific line
  • Amount in CFA francs
  • Help text: "Discount amount to apply on this line"

Position - Optional

  • Set the position in the item list
  • 0 = first item
  • Leave at 0 to add to the end of the list

Automatic Calculation

Subtotal and Total are automatically calculated based on the entered information:

  • Subtotal = Quantity × Unit Price
  • Total = Subtotal - Discount

Finalize the Line

Click Add item to add this line to the order, or Cancel to abort the operation.

After Adding an Item

  • The item appears in the order lines table
  • The Recap on the right side updates automatically
  • You can add as many items as necessary by clicking + Add a line again
  • Each item can be modified or deleted individually

Recap

On the right side, the financial summary is displayed and updates automatically:

  • Subtotal: Total of all order lines
  • Discount: Applied reduction (if any)
  • Total: Total order amount
  • Invoiced amount: Amount already invoiced (0 FCFA for a new order)

Client Information

The selected client card is displayed with:

  • Client name
  • Type (Individual or Company)
  • A link to access the client profile

Linked Deliveries

At the bottom of the page, the Linked Deliveries section displays deliveries associated with this order:

  • When no delivery is created, a message indicates no linked delivery
  • After creating deliveries, they will appear in this section

Order Workflow

Status Definitions

An order goes through several statuses during its lifecycle:

  1. Draft

    • Initial status upon creation
    • The order can be freely modified
    • Available actions: Edit, Add items, Delete
  2. Pending

    • Order is created and awaiting validation
    • Can be sent to client for approval
  3. Accepted

    • Client has accepted the order
    • Order can be transformed into an invoice
    • Available action: Create an invoice
  4. Delivered

    • Order has been delivered to client
    • Can be invoiced if not already done
    • Final status of the process

Available Actions

Depending on the order status, different actions are available:

For a draft:

  • Edit: Edit order information
  • Add a line: Add items
  • Validate: Move order to "Pending" or "Accepted" status
  • Delete: Delete order

For a validated order:

  • View: Consult details
  • Create an invoice: Transform order into an invoice
  • Create a delivery: Create a delivery for this order
  • Duplicate: Create a copy of the order
  • Cancel: Cancel the order (if necessary)

Transform an Order into an Invoice

Once the order is accepted or delivered:

  1. Click the Validate button or the three dots
  2. Select Create an invoice
  3. The invoice is created automatically with the order items
  4. You are redirected to the invoice page for finalization

Create a Delivery

To manage order delivery:

  1. Click Create a delivery
  2. Select items to deliver (partial or total delivery)
  3. Indicate the expected delivery date
  4. Validate the delivery
  5. The delivery appears in the Linked Deliveries section

Usage Tips

  1. Always verify before validating: Once validated, the order is committed

  2. Use product catalog: To save time, select products from the catalog

  3. Track statuses: Keep statuses up to date for better monitoring

  4. Link deliveries: Create deliveries to track product shipping

  5. Transform into invoice: Don't forget to create the invoice after delivery or according to your billing terms
